NOTICE is hereby given that the Annual General Meeting of the members of the Law Association of Zambia in respect of the year ended 31st December 2015 will be held on Saturday, 16th April, 2016 at the Avani Victoria Falls Resort (former Zambezi Sun International Hotel), in Livingstone at 08:30 hours to transact the following business:
1. NATIONAL ANTHEM
2. NOTICE AND AGENDA
To take note of the Notice convening the Annual General Meeting and to adopt the agenda for the Annual General Meeting
3. MINUTE OF SILENCE
To observe a minute of silence for deceased members
To take note and record apologies for members not present.
To table and accept proxies
6. MINUTES OF PREVIOUS ANNUAL GENERAL MEETING
To consider and adopt the minutes of the Annual General Meeting held on Saturday, 25th April, 2015.
7. MATTERS ARISING
To consider the matters arising from the minutes of the previous Annual General Meeting
8. PRESIDENT’S REPORT AND FINANCIAL STATEMENTS
To receive and adopt the audited financial statements for the year ended 31st December 2015 and the reports of the President, the LAZ Committees and the Auditors.
9. APPOINTMENT OF AUDITORS
To appoint Auditors for the 2016 financial year and to authorize the LAZ Council to set their remuneration
10. ELECTIONS OF COUNCIL MEMBERS
To elect Council members FOR A TWO (2) YEAR TERM in place of those retiring their office in accordance with section 12(1) of the Law Association of Zambia Act (Private Rules) Chapter 31 of the Laws of Zambia.
11. ANY OTHER BUSINESS
To transact any other ordinary business as may be properly transacted at an Annual General Meeting.
A member entitled to attend and vote at the meeting is entitled to appoint a proxy to speak, and on a poll to vote in his/her stead. Proxy forms are available at the LAZ Secretariat and will be tabled at the Annual General Meeting.
TAKE FURTHER NOTICE that elections for various positions on the Council will be held in accordance with the Law Association of Zambia (Electoral) Rules contained in Statutory Instrument No. 156 of 1996 as read with the Law Association of Zambia (Electoral) (Amendment) Rules contained in Statutory Instrument No. 6 of 2000.
Lusaka based members and those members in surrounding provinces intending to contest any positions in the Association should obtain Nomination Forms from the Law Association of Zambia Secretariat at Plot No. 1, Lagos Road, Rhodes Park, Lusaka whilst the Copperbelt based members and those in surrounding provinces should obtain Nomination Forms from the Law Association of Zambia office at the National Legal Aid Clinic for Women (Copperbelt), Ndola which should be duly completed and together with the prescribed fees, submitted to the Returning Officer as follows:
i. at the Secretariat at Lusaka on Tuesday, 15th March 2016 between 08:00 hours and 17:00 hours.
ii. at LAZ Offices, C/O National Legal Aid Clinic for Women, P.O. Box 240672, No.9 Mapanza Road NDOLA on Wednesday, 16th March 2016 between 08:00 hours to 17:00 hours.
iii. members should take note that only 2 proxies per member will be allowed.
12. WELCOME BASH
There will be a welcome bash at The Fairmount Hotel on Thursday, 14th April, 2016 starting at 19:00 hours. The cost of tickets for the bash are K100.00 per person.
13. BOAT CRUISE
There will be a Sunset Cruise on Lady Livingstone/African Queen for Delegates on Friday, 15th April, 2016. The cost of cruise is K600.00 per person. Those intending to be on cruise are advised to pay to LAZ Secretariat no later than Friday, 1st April, 2016. Cancellations made less than 24 hours will not be reimbursed.
14. DINNER ON THE 1861 STEAM TRAIN New! (Yet to be confirmed)
There will be a 5-course dinner aboard an old steam train while riding through the game park and the turnaround is on the Vic Falls Bridge where you get to have sundowner drinks while you watch the falls for Delegates on Friday, 15th April, 2016. The cost of the dinner is K1,600.00 per person. Those intending to be on the train are advised to pay to LAZ Secretariat no later than Friday, 1st April, 2016. Note that prices may come down depending with the number of people registering/paying. Cancellations made less than 24 hours will not be reimbursed.
15. COMMUNITY OUTREACH
There will be Community and Sports activities organized for members on Friday 15th April, 2016 and on Saturday 16th April, 2016 respectively. The details of the activities can be obtained from the LAZ Secretariat. The venues of the proposed activities will be advised.
16. OTHER ACTIVITIES
There will be other activities organised for accompanying spouses, partners and children. Details of the said activities can be obtained from the LAZ Secretariat. Those intending to have their spouses, partners or children participate in these activities are advised to pre-register with the LAZ Secretariat or with the activity organisers. Payments for all activities will be made directly to the activity organisers.
17. ANNUAL BALL
The Annual Ball will be held at the Avani Victoria Falls Resort (former Zambezi Sun International Hotel), Livingstone on Saturday, 16th April 2016 at 19:00 hours. The cost of Dinner per person is K350.00. Dinner Tickets are on sale at the LAZ Secretariat.
Her Honour the Vice President, Madam Inonge Wina, MP. has been invited to grace the dinner as Guest of Honour. Cancellations made less than 24 hours will not be reimbursed.
GALA DINNER THEME: “Proudly Zambian”.
DRESS CODE: Traditional Zambian Attire.
